Tutorial to create new users and how to limit their access to using the Hocalwire CMS

User Roles & Permissions

Hocalwire CMS has an inbuilt feature to moderate access to users who play various roles in the publication process. This allows for the protection of intellectual property, regulates publishing quality, prevents copyright infringements ad avoids abusive content being published without approval.

In this tutorial we will see how you can setup various user roles and provide them with necessary permissions

Step by Step Procedure:

As an admin user, you will be landing on the Dashboard after Signing In.

The Drop Down Menu - System Management is what we need at the moment for creating New Users



What is CMS Login & Public Users?

Under System Management you will see two Menus, Namely CMS Login / Public Users

CMS Login- For Internal Team, Editors, Reporters, Within Organization

Public Users - External Writers, Reporters, Freelancers, Ghost Writers anyone who is outside the organization but contributes to the publication

Creating New Users

This Menu is only shown if you are an Admin or have access to the console at the Management level, Who are granted permission to create and onboard new user

When we click the CMS Login Menu, You will see existing Users who are in the Hocalwire Platform


Existing Users Displayed in Sequence

The Create User Option is in the Top Right Hand Corner


On Clicking the Create User Button, It asks for Basic Details that need to be filled in Such as

Name, Email, Mobile, URL. Fill in the Basic Details to Proceed Further



Creating New Password

The new user created has to set a new password on his first sign in.

To enable creating a new password during the first sign in - the admin has to set the password as `****.

This will prompt the new user to reset his password upon login and grants access to the platform

Custom Roles

Once we have done with the profile configuration, We need to define the role of the new user. As defaults, we have 3 roles, Management, Editor, Writer

The Management is the top-level role who has access to all consoles in the HocalWire Platform

The Editor comes with access to assign work, review and approve stories for publication with control over the writers

The Writer can be limited to the creation of stories, moderation of content and micro-level activity within the platform

More Custom roles can also be created and we will look at them in another tutorial

User Permissions

For the New User Created, We need to define access and privileges across the platform.

This is done by using, the Change User Permission Icon.



The First Blue Icon which depicts a User Making Presentation is the Change User Icon

Once you click the icon you will see a list of permissions enabled and disabled for the new user

You can go about checking and unchecking the required permissions as per the privileges granted to the new user.



You can check and uncheck the bosses based on the user's privilege level in the organization

Hit Update Permissions to modify the new changes.

Now we have created a new user, defined his profile, Assigned a Role with an Editor and also granted permissions in the HocalWire Platform.
